Mission:

Reporting to the Director, Strategic Sourcing the Supply Chain and Contract Analyst is responsible for coordinating the buying and delivery process of goods or services from existing suppliers on behalf of the company.  This role will also work diligently to ensure contracts coordination and compliance.

Key Outcomes:

  • Consolidate spend across lines of business and Support Office to maximize savings;
  • Ensure contracts are maintained and updated in central contract repository (MyContracts);
  • Oversee and maintain all current vendors operations with Revera to ensure residence satisfaction;
  • Own existing vendor performance management to secure top of the line performance; and
  • Maintain complete visibility on the end to end supply chain process and ensure all supply chain KPIs are monitored and actioned on.

Key Responsibilities:

  • Responsible for vendor related communication and to be a functional bridge between internal teams and vendors;
  • Assist internal stakeholders and their teams meet their tactical objectives in their use of the vendor, promoting of vendor products and resolving vendor issues pertaining to existing and new sites;
  • Create contract based on negotiated terms and conditions and ensures contracts are signed and executed across the entire organization;
  • Manage and oversee contracts maintenance and ensures that funds, services and goods are received on time.
  • Manage vendor and internal relationships to ensure all disputes as well as all vendors concerns towards Revera are addressed and resolved in a timely manner;
  • Manage both existing supplier compliance and vendor complains, including targets with monthly reporting; monitor compliance with purchasing policy for all assigned category products & services;
  • Own and execute on existing vendors performance score cards across the organization
  • Oversee all rebate programs including coordination with supplier pertaining to rebates matters as well as ensuring the rebates are received within designated timelines and in full;
  • Produce orders and estimates for potential new contracts;
  • Develop, maintain and update standard contract templates and forms as needed;
  • Maintain and create related reports for management as needed;
  • Ensure existing contracts are renewed before expiry in collaboration with Strategic Sourcing Team;
  • Initiate ordering, data control, and collection of metrics;
  • Manage the Culinary Budget and equipment purchasing support;
  • Periodically travel to vendors to strengthen and maintain relationships with vendors pertaining to their performance, compliance and administration matters with Revera;
  • Oversee procurement performance and compliance monitoring metrics and tools, including quarterly dashboards;
  • Oversee Strategic Sourcing Website updates and maintenance including strategic sourcing procedures and policies updates, preferred vendor list updates/changes;
  • Manage and maintain existing vendors score card and oversee vendors communication on the results;
  • Analyze data to identify problematic areas and suggest improvements;
  • Plan and implement supply chain optimization projects (e.g. warehouse-slotting, route planning);
  • Develop requirements and standards (e.g. packaging, procurement, delivery);
  • Help foster trusting relationships with residences and internal business partners;
  • Track KPIs and report on supply chain’s performance;
  • Maintain a friendly and professional relationship with vendors while promoting company initiatives and values;
  • Design and maintain all vendor reports and evaluate all issues and assist to prepare all data reports for all purchasing system and manage all buying trends;
  • Maintain all spreadsheets and evaluate all corrections for same and establish all best purchase activities;
  • Collaborate with various departments (Accounting, Operations, IT, etc.) to ensure compliance to all shipping dates and deadlines and maintain satisfaction of all consumers;
  • Coordinate with existing vendors to maintain knowledge on all product and delivery schedule;
  • Collaborate with internal and external customers and manage all existing pricing and availability of all products and services;
  • Monitor all inventory level and determine appropriate delivery dates of all products and forecast all order requirements and maintain records of all activities and resolve all delivery, backorders, quality failures issues and ensure replacements are ordered and delivered as needed for new and existing locations;
  • Monitor all supplier performance and ensure timely delivery of all products and maintain accuracy in all vendor data;
  • Manage all communication with all vendors and track all orders and resolve any issues on same and assist to obtain all products and services for Revera existing residences;
  • Uphold and promote the organization’s values and philosophy relating particularly to ethics, morality, and integrity as set out in Revera’s Code of Conduct; and
  • To complete all other tactical tasks as assigned.

    Required Education, Credentials and Experience:

  • Minimum of 3 years of experience in Supply Chain and Contract Management within Purchasing Organization;
  • Business Degree with related PMAC courses;
  • Previous experience in the health care/hospitality/real estate industry is an asset;
  • Strong negotiation and influencing skills;
  • Working knowledge of vendor contracts;
  • Technical knowledge of commodities purchased and key cost drivers;
  • Strong communication, analytical and interpersonal skills;
  • Organized and can operate both as a team player and independently;
  • Computer proficiency including Microsoft Office; and
  • Experience with Workday considered an asset.
